- Other personal data that you actively provide, for example by creating a profile on this website, in correspondence and by telephone
- Data about your browsing behaviour
- Internet browser and device type
Special and/or sensitive personal data that we process
Our website and/or service does not intend to collect data about website visitors under the age of 16, unless they have the consent of a parent or guardian. However, we cannot check whether a visitor is older than 16. We therefore recommend that parents be involved in the online activities of their children, in order to prevent data about children being collected without parental consent. If you are convinced that we have collected personal data about a minor without this permission, please contact us via info@looksclinics.nl, then we will delete this information.
For what purpose and on what basis do we process personal data?
Looks Clinics processes your personal data for the following purposes:
- Scheduling and carrying out your consultation and treatment, including aftercare and check-ups
- Keeping your medical record, as required by law
- Calling or emailing you when this is necessary for our services
- Processing your payment and our administration
- Answering your questions and following up on your request via our website
We process your data on the following legal bases under the GDPR:
- The performance of the treatment agreement with you (Article 6(1)(b) GDPR)
- A legal obligation, such as the duty to keep medical records under the Dutch Medical Treatment Contracts Act (WGBO) and the statutory retention period for tax purposes (Article 6(1)(c) GDPR)
- Your consent, for example for assessing the photos you submit with the online suitability check, for receiving information by email and for placing non-essential cookies (Article 6(1)(a) GDPR). You can withdraw your consent at any time
- Our legitimate interest in a properly functioning, secure website and in improving our services (Article 6(1)(f) GDPR)
Medical data are special categories of personal data. We process them solely because this is necessary for your treatment by healthcare professionals bound by professional secrecy (Article 9(2)(h) GDPR).
When you request an e-book, complete a suitability check, or leave a callback request via our website or one of our forms, we use your contact details to follow up with you by email or phone. This may also happen if you have not responded to previous messages for an extended period. You can unsubscribe from this follow-up at any time via the unsubscribe link at the bottom of every email or by contacting us.
Automated decision-making
Looks Clinics does not make decisions based on automated processing on matters that can have (significant) consequences for people. This concerns decisions that are made by computer programs or systems without human involvement (for example by an employee of Looks Clinics). Looks Clinics uses the following computer programs or systems: phpMyAdmin for managing the database and WordPress for managing the content.
How long we store personal data
Looks Clinics does not store your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods:
- Medical record: 20 years after the last change, or longer where good care requires this (WGBO)
- Financial and administrative data, such as invoices: 7 years (statutory retention period for tax purposes)
- Data from a suitability check, e-book request or callback request that is not followed by treatment: no longer than 1 year after your last contact with us. Photos you submit are deleted after assessment, and in any case within 1 year
- Data of website visitors (cookies and analytics data): according to the period set per cookie in our cookie settings
Sharing personal data with third parties
Looks Clinics does not sell your data to third parties and only provides it where this is necessary for the performance of our agreement with you or to comply with a legal obligation. We conclude a data processing agreement with companies that process your data on our behalf, to ensure the same level of security and confidentiality of your data. Looks Clinics remains responsible for this processing.
There is one addition to this regarding the measurement of our advertisements. When you book a consultation with us, we may pass on the fact that an appointment has been made (without medical content) to Meta Platforms Ireland Ltd., along with an encrypted (hashed) version of your email address or phone number. We use this to measure whether our advertisements lead to appointments. Meta cannot trace this data back to you unless you have a Meta account with the same email address or phone number. We do this based on our legitimate interest in measuring our advertisements (Article 6 paragraph 1 letter f GDPR). You can object to this via info@looksclinics.nl; we will then not pass on your data.
Cookies and similar technologies that we use
Looks Clinics uses cookies and similar technologies. A cookie is a small text file that is stored in the browser of your computer, tablet, or smartphone when you visit this website. We distinguish three types.
Necessary cookies. These ensure that the website works, remember your cookie choice, and secure our forms. No consent is required for this. This concerns the website's session cookie and the cookies from our cookie banner (Complianz, maximum twelve months).
Statistical cookies (Google Analytics). With this, we measure how visitors use the website so that we can improve it. We do not see individual visitors. We only place these cookies with your consent. Cookies: _ga and _ga_ (maximum two years). Processor: Google Ireland Ltd.
Marketing cookies (Google Ads and Meta). With these, we measure whether our advertisements on Google and Meta (Facebook and Instagram) lead to an inquiry or an appointment, and we can show you an advertisement after a visit to our website. We also only place these cookies with your consent. Cookies: _gcl_au (three months) and _fbp (three months). Processors: Google Ireland Ltd. and Meta Platforms Ireland Ltd.
On your first visit, we ask for your choice via the cookie banner. Without your consent, we only place the necessary cookies. You can change or withdraw your choice at any time via the “Cookie settings” button at the bottom of the page. Additionally, you can delete or block cookies via your browser settings; the website will continue to work, but some parts may function less well.
Google and Meta may process data outside the European Union. Both are signatories to the EU-US Data Privacy Framework. You can read more information in the privacy policies of Google and Meta.
Accessing, rectifying or deleting your data
You have the right to access, rectify or erase your personal data. In addition, you have the right to withdraw your consent for data processing or to object to the processing of your personal data by Looks Clinics and you have the right to data portability. This means that you can ask us to send the personal data we hold about you in a digital file to you or to another organisation designated by you. You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data to info@looksclinics.nl. To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. In this copy, please black out your passport photo, the MRZ (machine readable zone, the strip of numbers at the bottom of the passport), your passport number and your BSN (Dutch citizen service number). This is to protect your privacy. We will respond to your request as soon as possible, and in any event within four weeks. Looks Clinics would also like to point out that you have the right to lodge a complaint with the national supervisory authority, the Autoriteit Persoonsgegevens (Dutch Data Protection Authority). You can do this via the following link: https://autoriteitpersoonsgegevens.nl/nl/contact-met-de-autoriteit-persoonsgegevens/tip-ons.
